Calendar - Shared & Private

Hi,

I have not figured this out yet, but why with vtiger is an activity automatically private, yet all other systems it is the other way round, where you specify an item is to be kept private?

I have been going round in circles trying to get it set so that when a user (within the same group and profile and role) creates an activity against a record and that all others in the group can still see this activity.

This has also had an impact on creating a To Do for another user, again even within the same group/profile/role.

I have read the Hel and cannot work out how I need to configure the system without having the situation where the calendar is filled with everyone elses items. They Calendar needs to be kept clean and clear for each user unless they are invited into an activity.

A simple 'View only my items' on the calendar options would help immensely.

    by default, calendar is set as private. if you make it public, everyone in the organization can view other user's calls, meetings, and to dos,
    which is not recommended. thats why we have prohibited the change privileges option for calendar.

    so this is not an issue. vtigercrm has that type of work flow. but you can share your activities to others if you wish by set up the calendar
    sharing in the calendar settings as well as making public while creating activity. if you make it as public then that record can be view/edit by the shared user. but they could not delete it.

    and also there is no hierarchy in the group level. if you assinged any record to the group then, that record can be access by all the users in that group.

    i can understand this being the case, to a degree, but working in a sales environment, where leads and accounts are worked on by a team, makes this very cumbersome to use.

    always having to ensure you tick public, and then the single calendar view being populated by other users tasks only interferes with workflow. each user in that group needs to be able to view the status of the account/potential/lead etc., to create tasks for colleagues etc.

    the calendar view needs to have the filtering to enable you to see your tasks only, but the ability to see other users (permissions permitted) if shared as a separate view.

    using the all tasks screen is similar to how it worked in v4, but changes and the multi press route to that slows down efficiency.
  • i agree. we are team and need to always see others events. in fact, we rarely if ever have any event that no one else needs to see.
  • same here, it would be easier if they were public by default rather than private, and if i could choose between mine & all.

    also, no private todo's?
  • we work as a team also. it would work better for us if the "mark public" option was global meaning that if this box was checked anyone could see it (hence public). while it's not critical for our team to see pending events, it's more critical to see account / contact history as a group.

    here's an idea, how about a another check box called "mark global" that will allow global access? this way there could be 3 options/checkboxes (private, public, global):

    private - for the user's view only
    public - for view based on the calendar sharing
    global - for everyone's view regardless of sharing / permission

    it would also be a nice feature to choose one of these as a system default in the settings section.

  • can anyone on the vtiger team respond with if any changes are to be made to the user/security level interaction as described above please.

    this is a critical efficiency related area, as those sales environments with multiple people working on an account need to have the required visibility.

    thanks for your suggestion. lot of discussions are going regarding this.
    vtiger team also would like to address this. but we should decide solid solution for that.
    it will take some time to implement and also this is come under enhancement list.

    already we have filed your suggestion in our feature list.

    how do we get a date for when this will be addressed?
  • i tried making the particular event public from a user's mode.. but i checked if logging in from another user's login, the activity is not shown there..
    please tell me how to make this public.. it is very important for the sales team - since if a particular person is on leave, the other person from the team must call the lead..

    you have to configure the shared calendars first. login as a user -> calendar- > settings and select the users who share calendars. have alook at the manual for further information.
