The way vTiger handles invoicing could lead to serious accounting issues.
This is for two reasons.
Firstly, invoices can be altered even once they have been paid. This could, for example, allow sales employees to fake commission payments etc by sending out invoices then modifying the details to give themselves more commission on a deal - this would be untrackable until way too late to resolve the issues.
Secondly, and much more seriously, the invoices themselves are not stored with static information. After an invoice has been generated, if the price of one of the products sold in that deal were to change, the totals on the invoice change as well.
This basically means that once a product has been sold you can't revise the price without making your entire invoice history invalid. An audit of company accounts would effectively result (at best) in major fines if you were using this as an invoicing system.
Possible workarounds:
1) Store the original PDFs and NEVER generate copy invoices from the system (Only possible if the prices have not been revised between quoting and invoicing as legal action would likely follow if the invoice did not match the quote signed by the customer).
2) Use something else for product details, quotes & invoices.
3) Once quotes are generated, a snapshot of the associated information should be generated with current prices etc. That way, generating an invoice would always be identical to the quote.
3b) Once the invoice is sent out, it becomes a legal document. from this point it should be impossible to revise the contents. If a customer requests a change then make a new invoice with a new invoice number!
At the very least, once the invoice has been PAID then you shouldn't be able to change it.
Despite this, I have to say that vTiger is the best CRM solution I have ever used - and I have worked on behalf of some major corporations with systems costing thousands of dollars (in one case, over a million...).
If I could get any of the three migration paths working from 4.2.4 to v5 then most of the minor issues I have would be resolved as well :)

I am totally agree with your comment.
On each first generated invoice, PO or SO it have to be mention "ORIGINAL", and no one except administrator or head manager (specific profil) can't modifiy the original document.
For other authorized profils, they can re-print any document but with the mention "DUPLICATA or COPY".
I will have to deal with freelance commercial peoples in differents countries and I don't want to let them use vtiger with this kind of lack of business security.
The subject is crucial and very critic because it impact the turnover generated. |

I don't think this is true. My installation works the way I expect and I just tested in the on line demo. The invoice is unchanged when I alter the price of the product.
There was an issue a while back where the list price changed on the invoice, but I don't think invoice totals have ever changed. Even the list price doesn't seem to change now. Can you post more information on this.
I do agree that the invoice needs to become read only at the point it goes to a customer.

Not a problem, I am using v4.2.4 and this is a serious issue.
It is nice to know that the more serious aspect has been dealt with in version 5.
If I could get any of the 3 migration options working I would upgrade :(
Does anyone know if there will be a fix for the migration? |
